1. Introduction
This Privacy Policy explains how AutoCalc (“we”, “us”, “our”) handles personal information in connection with the AutoCalc platform.
AutoCalc is a business-to-business software platform designed for use by licensed mortgage brokers and finance professionals (“Brokers”). AutoCalc does not provide credit, financial advice, or recommendations, and does not deal directly with loan applicants or consumers.
We are committed to complying with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
2. Our Role and Scope
AutoCalc operates as a software service provider that:
- extracts and structures income-related data from documents uploaded by Brokers;
- summarises income information into standardised data fields; and
- applies lender-specific borrowing capacity calculator logic to produce informational outputs.
AutoCalc:
- does not make lending decisions;
- does not recommend lenders or loan products;
- does not provide credit assistance or financial advice; and
- does not approve or decline loan applications.
Brokers remain solely responsible for:
- verifying client information;
- determining suitability of lenders or loan products; and
- providing any advice to their clients.
3. Personal Information We Handle
Depending on how the platform is used by a Broker, AutoCalc may handle personal information relating to loan applicants, including:
- name and contact details;
- employment and income information;
- financial information extracted from income documents (such as payslips, income statements, or tax records);
- borrowing capacity inputs and calculation outputs.
Broker account information
When Brokers sign in via Google, we collect their name, email address, and profile information provided by the Google authentication service. This information is used solely for account management and access control.
Important limitation
AutoCalc never persists original income documents. Uploaded files exist only in memory for the duration of the parsing request and are then discarded. They are not written to disk, S3, or any database. This applies to every upload and every user, with no exceptions. See our Trust & Security page for the full data-handling model.
4. What We Do Not Collect or Store
AutoCalc does not intentionally collect or store:
- original payslips, income statements, tax returns, or similar documents;
- Tax File Numbers (TFNs) or TFN extracts; or
- unnecessary identity documents.
If a Broker uploads a document containing sensitive or high-risk information (such as a TFN), that information is not retained and is not used for any purpose.
5. How We Collect Personal Information
AutoCalc collects personal information only via Brokers who upload documents or input data into the platform. We do not collect personal information directly from loan applicants.
Brokers must ensure that they:
- have obtained all required consents and authorities from their clients; and
- are authorised to provide personal information to AutoCalc for processing.
6. Purpose of Collection and Use
We collect and use personal information solely to:
- extract and structure income-related data;
- generate income summaries;
- apply lender borrowing capacity calculation logic;
- store calculation inputs and outputs for audit, record-keeping, and platform functionality; and
- provide Brokers with access to prior calculation results.
We do not use personal information for marketing to loan applicants or for unrelated secondary purposes.
7. Document Parsing (Scope of AI Use)
AutoCalc uses an AI service for one purpose only: extracting structured fields (employer name, gross pay, YTD figures, allowances, etc.) from uploaded payslip documents. AI is not used to perform borrowing-capacity calculations or to generate financial figures — those are produced by deterministic lender-specific code. Specifically:
- Document parsing is performed using Amazon Bedrock, operated by Amazon Web Services (AWS) within the Sydney (ap-southeast-2) region.
- The parser is invoked with
temperature = 0(deterministic mode), so the same input produces the same extracted output on every run. - AWS publishes its Bedrock data-handling commitments at aws.amazon.com/bedrock/security-compliance. Inputs submitted to Bedrock are not used to train foundation models, are not retained by AWS after the request, and are processed in-region.
- Uploaded documents are transmitted to Bedrock solely for the purpose of data extraction and are discarded immediately afterward by both AWS and AutoCalc.
- Extracted figures are informational only and are subject to review and verification by the Broker before any calculation runs.
No personal information is used to train any model. Document content is processed in real-time and is not stored by the parsing service or by AutoCalc.
8. Storage and Security
All data processed and stored by AutoCalc is hosted on Amazon Web Services (AWS) infrastructure located within Australia (Sydney region).
We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification, or disclosure, including through:
- secure cloud infrastructure;
- access controls and authentication measures; and
- internal data handling restrictions.
10. Disclosure of Personal Information
We do not sell personal information.
Personal information may be disclosed only to:
- authorised personnel or contractors involved in operating the platform; or
- service providers (such as cloud infrastructure and document parsing providers) strictly for platform operation.
All third-party service providers operate within Australia. We do not disclose personal information to overseas recipients.
11. Data Retention
AutoCalc retains:
- extracted income data;
- calculation inputs; and
- calculation outputs,
for record-keeping, auditability, and service continuity purposes.
AutoCalc does not retain original uploaded documents once data extraction is completed.
12. Access and Correction
Individuals may request access to, or correction of, personal information held by AutoCalc. As AutoCalc operates via Brokers, requests may be required to be made through the relevant Broker. Requests can be submitted by contacting us using the details below.
13. Complaints
If you believe we have not handled personal information in accordance with this Privacy Policy or the Privacy Act, you may contact us to lodge a complaint. We will respond within a reasonable time and take appropriate steps to address the issue.
14. Updates to This Policy
We may update this Privacy Policy from time to time. The latest version will be made available on the AutoCalc platform or website.
